How to use AI Property Writer

Everything you need to set up, share, and capture leads from your branded listing pages. Skim the table of contents, jump to what you need, or read top to bottom in one sitting.

1. Getting started

AI Property Writer turns every one of your listings into a branded lead-capture page with an AI buyer assistant attached. You keep your listings on the big portals — Zillow, Redfin, Realtor.com — but for your outbound marketing (sphere emails, social, texts, yard signs), you share your own link instead. Leads from that link land in your inbox in under 60 seconds. No portal referral, no commission skim.

Sign up

  1. Visit aipropertywriter.com and click Get started.
  2. Enter your email and a password. Confirm your email when the welcome message arrives (check spam if you don't see it within a couple minutes).
  3. You'll land in your dashboard. The Free plan gives you one active branded page with the full feature set — branded listing page, Proppie, lead inbox, marketing kit. No card required.

If you got here from an outreach email

If we sent you a personalized preview of one of your listings and you clicked "Claim," your account automatically jumps to a 90-day Pro trial — unlimited pages, Lead Finder, Marketing Hub, all of it. No card required. The page you claimed is already live and tied to your account.

2. Set up your agent profile

Every branded page pulls from one source of truth: your agent profile. Spend two minutes on this once and every page you create afterward is auto-branded.

What to fill in

  1. In your dashboard, open Settings → Agent Profile.
  2. Name + title: what shows up under the listing details ("Listed by Sarah Martinez, Realtor®").
  3. Headshot: a clean square photo. Renders in the page footer and the lead-capture form.
  4. Brokerage logo (optional): displayed alongside your headshot. Most agents skip this and rely on the agency name — your call.
  5. Phone, email, website: the ways buyers can reach you outside the lead form.
  6. Brand colors: primary + accent. Defaults to a clean blue if you skip it. Pick from your brokerage's palette so the page feels native to your overall marketing.

Edits propagate to every existing page on save. You can override per-page if a particular listing needs different colors.

3. Create your first branded page

Two paths depending on whether you have your own listing or you're buyer-side.

Path A: You have a listing

  1. In your dashboard, click + New Listing Page.
  2. Paste the property address. Add beds, baths, sqft, asking price, property type. Anything you skip, you can fill in later.
  3. Drop in a few features (granite countertops, fenced yard, recent renovation, school district notes — anything you'd highlight in a listing remark).
  4. Click Generate. In about 60 seconds you get back: 3 listing-description variations (Professional, Storytelling, Luxury), an Instagram caption with hashtags, a Facebook post, an email blast, and a market-context snippet pulled from real Redfin data.
  5. Pick which description variation goes live on your page. You can swap any time, or edit the copy directly.
  6. Upload up to 12 photos. The first photo becomes the hero + the share-card image everywhere you post the link.
  7. Your page is live at aipropertywriter.com/p/<slug>. Share that link.

Path B: You don't have your own listing yet

Use Lead Finder (Pro). See section 8.

4. Edit and refine your listing

The variation switcher

Every listing comes with three AI-generated description variations:

  • Professional — straightforward, fact-forward. Best for entry-level homes and any listing where you want low-key authority.
  • Storytelling — paints the buyer experience ("morning coffee on the back porch..."). Best for character homes, family homes, listings with strong lifestyle pull.
  • Luxury — refined, restrained, status-aware. Best for higher price points where the buyer wants the prestige cue.

Pick the one that fits the property. Most agents A/B these — try one for a week, see lead activity, then swap if it's flat.

Editing copy directly

Click Edit on any variation to rewrite the title, body, or highlights. Save and the public page updates immediately. There's no "publish" button — every save is live.

Photos and floor plans

Twelve photo slots. The first slot is special: it becomes the hero on the page AND the social-share card whenever you paste the link in an email or social post.

Floor plans render in their own section below the photo grid. 88% of 2026 buyers say they're more likely to book a tour when a floor plan is present — upload one if you have it.

Status

  • Active — public, lead form working.
  • Paused — page returns 404 to the public. Use this when an offer's pending and you want to take the listing dark briefly.
  • Sold — the page stays live but morphs to a "Just Sold — ask about similar homes" state that keeps capturing leads. Old yard-sign QRs and shared social posts keep working forever.

5. Proppie — your AI buyer assistant

Most buyers won't fill a contact form to ask one question. So every branded listing page has Proppie built in — an AI buyer assistant that answers their question on the spot.

What Proppie does

  • Answers buyer questions in plain English — monthly payment, HOA, square footage, year built, school district, tour times. Uses only your listing facts. Never invents MLS data she can't verify.
  • Captures contact info when intent is high — when a buyer asks about a tour or schedule, Proppie asks for their name, email, phone, and preferred time. Drops the lead in your inbox tagged with an intent score (0-100).
  • Surfaces what buyers hesitate on — your dashboard shows top buyer questions, top objections, top liked features. You see what's working and what isn't before the seller call.
  • Generates a weekly seller-ready report — one click in your dashboard generates a copyable summary you paste straight into your seller email. No more "we got 47 views this week" — instead "buyers asked most about HOA fees and the kitchen renovation; main hesitation was the busy street."

Configuring Proppie per listing

  1. Open the listing detail page in your dashboard.
  2. Scroll to the AI Buyer Intelligence panel.
  3. Adjust the settings:
    • Tone — professional, warm, concise, enthusiastic.
    • Booking link — paste your Calendly / Acuity URL and Proppie shares it when buyers ask about scheduling.
    • Showing instructions — anything Proppie should know about access, lockbox, pre-qualification requirements, etc.
    • Private notes — context Proppie uses but never quotes back to buyers. Example: "Roof replaced 2024; seller will negotiate on 30-day close; never quote price flexibility, refer back to me."
  4. Save. Proppie picks up the changes immediately on the next buyer chat.

Reviewing buyer conversations

The same panel shows recent conversations: intent score, summary, and the buyer's captured details if they shared them. Click into any session to read the full transcript. This is gold for understanding what part of your listing is landing and what isn't.

6. The lead inbox

Every lead from every branded page lands here — both form-captured and Proppie-captured. Email notification within 60 seconds, dashboard entry the same minute.

What you see per lead

  • Name, email, phone
  • The listing they inquired on
  • Their interest (schedule a tour, request info, mortgage pre-approval, general)
  • Qualification: pre-approval status, buying timeline, working with another agent, max budget
  • AI badges: an "AI" pill if the lead came through Proppie, plus the buyer's intent score (color-coded green ≥70, amber ≥40)
  • An italic AI conversation summary above the buyer's message — what they asked about, what they hesitated on

Exporting leads

  1. Click Export CSV (top-right of the lead inbox).
  2. You get a CSV with everything: contact details, qualification, source, intent score, AI conversation summary, listing data. No lock-in. Take it anywhere.

CRM webhook (Zapier, Follow Up Boss, Sierra, Chime, etc.)

  1. In Settings → Integrations, find Lead Webhook.
  2. Paste your incoming webhook URL (Zapier, Make, Follow Up Boss, Sierra, Chime — anything that accepts a JSON POST).
  3. Save. Every lead from now on POSTs to that URL with a clean JSON payload. We send it within seconds of capture.

7. Buyer Match (in-network)

Every page you publish becomes part of a shared, opt-in buyer pool. When a buyer chats with a listing on the platform — yours or anyone else's — and ticks "notify me about similar listings," they become eligible to be matched against future listings nearby. Buyer Match surfaces those buyers on your dashboard with one-tap reach-out.

How it works

  1. A buyer chats with Proppie or fills out a contact form on any listing page in your state. They tick the opt-in checkbox (it defaults to on, but they can uncheck it).
  2. When you publish a new listing — or open an existing one — the matching algorithm finds buyers from other agents' listings who plausibly want yours: same state, comparable price band, intent signals from their original chat.
  3. Open the listing's dashboard at /dashboard/listings/[your-listing]. Scroll to the Buyer Matches panel. Each match shows the buyer's name, the listing they originally chatted with, their intent score, and an AI summary of what they were looking for.
  4. Click Reach out. We send a personalized email from support@aipropertywriter.comwith your name in the signature: "You recently looked at [original listing]. A new one matches what you were looking for: [your listing]." The email links straight to your branded page.
  5. The buyer clicks through, lands on your page, and chats with Proppie. The conversation gets captured as a normal lead in your inbox.

What it costs you

Nothing extra. Buyer Match is included on Pro and Brokerage. We don't take a cut, charge per send, or limit volume. The dedup rule is simple: each buyer × listing pair gets exactly one outreach email (you can't send the same buyer the same listing twice).

Things to know

  • Same-state only. An Oregon buyer won't be matched to a Florida listing. We don't do cross-state matching to avoid agent-poaching complaints across MLS boundaries.
  • Consent is real. If a buyer didn't tick the opt-in, they don't appear in your matches — period. No matter how perfect the fit.
  • The pool grows with usage. A new platform means an empty match list at first; as more agents in your state publish pages and capture leads, the pool fills up. Your panel will be quiet week one and busy week six.
  • Status badges on the "Already reached out" list show Sent / Opened / Clicked / Replied. Replies arrive at the email on your agent profile.

8. The marketing kit

Every listing comes with a full kit auto-generated in the same 60-second window. Use what you want, ignore what you don't.

  • Instagram caption + hashtags — copy/paste into IG, attach the listing photos. Caption is under the IG character limit and uses hashtags relevant to the property type and location.
  • Facebook post — slightly longer than IG, formatted for the FB feed.
  • Email blast — drop into your sphere email or your CRM blast. Subject line, preheader, and body are all generated.
  • Market data snippet — neighborhood-level pricing context (median, days-on-market, year-over-year) pulled from Redfin. Use it in your seller updates or in your sphere email to add authority.

Pro plans also unlock the Marketing Hub — pre-built emails, social campaigns, brand templates that aren't tied to a specific listing.

9. Lead Finder (Pro)

For buyer's agents and any agent who wants more pipeline than their current listing inventory provides. Lead Finder pulls fresh active sale listings from your farm-area ZIP codes and turns any of them into a branded buyer-magnet page in one click.

How to use it

  1. In your dashboard, open Lead Finder (sidebar, marked Pro).
  2. Enter a ZIP code. Filter by price range, beds/baths, property type, and how recently the listing went active.
  3. Hit Search. You see fresh active listings from the public MLS feed.
  4. Click Start page on any listing. The page form pre-fills with address, beds/baths, price, and IDX-compliant listing-agent attribution. Add photos and any features you want, generate the kit, page goes live.
  5. Share the link. Now every buyer who searches for that listing on the major portals could end up onyour branded page if you got the link in front of them first.

Save searches and auto-generate

  • Save a search to get a daily email digest of new matches in your filter set.
  • Auto-generate mode creates draft pages overnight for new listings (capped at 10/day). Review in the morning, publish the ones worth your time, archive the rest.

Note: Pro automatically adds IDX-compliant listing-agent attribution on every Lead Finder page so you stay clean on portal compliance.

10. Seller presentations (Pro)

Win more listing appointments with a one-page presentation pre-built from real market data.

  1. In your dashboard, click Presentations (sidebar, Pro).
  2. Paste the seller's property address. Add property type, condition, recent upgrades, unique features, and your asking-price recommendation.
  3. Generate. You get a presentation with: property overview, market analysis (median, DOM, comparables, inventory levels for the ZIP), pricing strategy, marketing plan, and a pre-written close.
  4. Share the link with the seller before the appointment, or pull it up on your iPad in person.

Each presentation gets its own URL with a view counter so you know if the seller actually opened it.

11. Brokerage seats

For brokerage owners and managing brokers who want every agent on the team to have the full feature set under one bill.

Buying seats

  1. On the pricing page, scroll to the Brokerage card.
  2. Pick your seat count (5 minimum, 50 max — contact us above that).
  3. Pay through Stripe checkout. Your account flips to plan=brokerage, and you land on /dashboard/brokerage.

Inviting agents

  1. On the brokerage dashboard, see seats: paid, used, remaining, and any pending invites.
  2. Enter an agent's email and click Send invite. They get an email with a join link.
  3. If email delivery fails for any reason, the dashboard shows a copyable join URL — paste into Slack, text, etc.
  4. When the agent clicks the link, they sign up (or sign in if they already have an account) and their profile auto-flips to plan=brokerage. Their dashboard immediately unlocks the full feature set, billed under your subscription.

Managing seats

  • Revoke a pending invite — frees the seat instantly.
  • Remove an active member — their plan drops back to Starter on the spot, freeing the seat.
  • Cancelling the brokerage subscription — every active member auto-downgrades to Starter. If you re-subscribe later, members' rows are preserved so they re-activate cleanly.

Heads up: the join link is the auth token. Treat it like a password — anyone with the link can claim the seat.

12. Outreach previews & claim flow

If we sent you an email about one of your listings — "I gave 123 Main St an AI buyer assistant" — that's the outreach preview flow. Here's what's happening on our end and what to do.

What you got

We pulled your listing from public MLS data, generated AI copy in our voice, and built you a personalized preview page at aipropertywriter.com/p/<your-listing-slug>. You can chat with Proppie on that page, see how the page would render with your branding, and decide if it's worth claiming.

What "claim" means

  • The page becomes yours. You own the URL forever.
  • Your account auto-upgrades to 90-day Pro trial (unlimited pages, Lead Finder, Marketing Hub, all of it).
  • After 90 days, you can keep Pro at $29/mo locked in (instead of the $59/mo standard rate). No card required to start. Cancel anytime.

How to claim

  1. Click Claim this page (or any "claim" CTA on the preview page).
  2. Sign up if you don't have an account. The page is auto-tied to your account on signup.
  3. You land in your dashboard. Add your photos, swap to whichever AI variation you prefer, and start sharing the link.

13. Sharing strategies that actually work

The page is built. Now it has to get in front of buyers. Here's where to put the link.

The five cheapest, highest-impact moves

  1. Email signature — replace your current portal-listing link with your branded page link. Every email you send becomes a soft-touch listing showcase.
  2. Yard-sign QR code — your dashboard generates a QR code per listing. Print it, stick it on the sign or open-house flyer. Drive-by buyers scan straight to your page (which has Proppie ready to answer their questions before they even pick up the phone).
  3. Social bio links — IG, Facebook, LinkedIn. Drop your most active listing's page link in the bio. When you post photos of the home, the bio link is what people tap.
  4. Sphere email — when you announce a new listing to your sphere, send the branded page link instead of the Zillow link. The lead from that touch lands in your inbox, not in a referral pool.
  5. MLS remarks — if your MLS allows agent URLs in remarks, paste your branded page link. Other agents' buyers occasionally click through.

Embedding the page on your existing website

If you already have your own agent or brokerage website, you don't have to send buyers away from your domain.

  1. In your dashboard, open the listing detail page. Find the Embed this listing panel.
  2. Copy the one-line iframe snippet. It works in WordPress, Squarespace, Wix, Webflow, and raw HTML.
  3. Paste into any page on your site. Your domain stays in the browser bar; our page renders inside it. Every form fill still routes directly to your inbox.

The embed strips our header and footer, so the page feels native to your site. You skip the rebuild work of templating per-listing pages on your own CMS.

14. Pricing, plans, and cancelling

Plans at a glance

  • Free — 1 active branded page, full feature set including Proppie, lead inbox, marketing kit. No card required.
  • Pro — $49/mo — unlimited pages, Lead Finder, Marketing Hub, seller presentations, bulk generation from CSV, video walkthroughs, brand-voice memory, real-time market intelligence.
  • Brokerage — $19/seat/mo — Pro features for every agent on your team, billed under one invoice, 5-seat minimum.

Special $29/mo cohort rate

If you came in via an outreach preview and claimed the page, you get the locked-in $29/mo rate when your 90-day trial ends. That's a permanent rate — not a 30-day promo.

Cancelling

  1. In Settings → Billing, click Manage subscription. You'll bounce to Stripe's customer portal.
  2. Cancel from there. Your access continues through your paid period.
  3. After cancellation: your branded page URLs stay live forever. They keep capturing leads. You just lose access to creating new pages and the dashboard tools.

Exporting data on the way out

No lock-in: from your lead inbox, click Export CSV any time to pull every lead with full detail. From a listing's detail page, you can copy the embed code and continue using it on your own site even post-cancellation.
